Team and roles
Roles are enforced where the work happens, not just hidden in the interface.
The three staff roles
| Role | What they can do |

| Owner | Everything, including banking, billing and the team itself. |
| Bookkeeper | Runs the pay cycle end to end: settlements, pay setup, transactions, loads. Cannot connect banks or manage the team. |
| Dispatcher | Loads, rate cons and fleet records. Nothing that touches what anyone is paid. |
A bookkeeper can approve a pay run, and also change the pay configuration behind it, because approving arithmetic you cannot explain is a worse split than either half alone. They cannot connect a bank: handing a third party ongoing read access to company finances is an ownership decision.
Inviting someone
Fill in their name, email, role and language, then press Invite.
They open it, choose a password, and land in the app already a member. Their name comes from what you typed, so they show up as a person rather than an email address. If the address already has a TruckDesk account, there is no link: they sign in the way they always have and the invitation applies on arrival.
Invitations expire after 14 days, and the link is single use. New link on a pending invitation mints a fresh one and extends the expiry.
Guardrails
- One account belongs to one organization.
- The last owner cannot be demoted or removed. Promote someone else first, otherwise nobody could connect a bank or manage the team.
