Team and roles

Roles are enforced where the work happens, not just hidden in the interface.

The three staff roles

OwnerEverything, including banking, billing and the team itself.
BookkeeperRuns the pay cycle end to end: settlements, pay setup, transactions, loads. Cannot connect banks or manage the team.
DispatcherLoads, rate cons and fleet records. Nothing that touches what anyone is paid.

A bookkeeper can approve a pay run, and also change the pay configuration behind it, because approving arithmetic you cannot explain is a worse split than either half alone. They cannot connect a bank: handing a third party ongoing read access to company finances is an ownership decision.

Inviting someone

Fill in their name, email, role and language, then press Invite.

They open it, choose a password, and land in the app already a member. Their name comes from what you typed, so they show up as a person rather than an email address. If the address already has a TruckDesk account, there is no link: they sign in the way they always have and the invitation applies on arrival.

Invitations expire after 14 days, and the link is single use. New link on a pending invitation mints a fresh one and extends the expiry.

Guardrails

  • One account belongs to one organization.
  • The last owner cannot be demoted or removed. Promote someone else first, otherwise nobody could connect a bank or manage the team.
