Frequently asked questions
I'm an owner-operator. I am the driver. Is Starter for me?
Yes — that's exactly who Starter is for. You set yourself up as the driver, and the same engine that pays a fleet's drivers runs your own numbers: what each load actually earned after fuel, factoring and deductions, your cost per mile, and what to set aside for taxes. Spend is categorized to Schedule C lines as it comes in, so at year end your books are already in the shape your return needs.
What counts as a driver?
Any active driver in your account. When someone leaves, deactivate them — their settlements, advances and 1099 history stay intact, their name comes out of your pickers, and they stop counting toward your bill on the next cycle.
Do trucks cost anything?
No. Trucks, trailers and loads are unlimited on every plan. We charge per driver because a driver is what the product actually works on: pay components configured, a settlement built every pay week, a 1099 line at year end. A carrier with three trucks and six drivers gets six settlements a week, so that's what the price reflects.
This costs more than my ELD. Why?
Your ELD is compliance — a cost the FMCSA requires you to carry. TruckDesk is the money: what you're owed, what you paid out, and what the two leave you. We were built by a CPA who found real errors auditing a carrier's settlement spreadsheets. If it catches one mistake a month per driver, it has already paid for itself.
Do I need QuickBooks?
No. TruckDesk is a standalone ledger. Export clean data for your CPA or tax software at any time.
What file formats do you support?
CSV, PDF, and Excel from fuel cards, factoring companies, and bank statements: WEX, EFS (Pilot Flying J), OOIDA Fuel+, RTS Financial, OTR Capital, and Triumph, with an AI fallback for formats we haven't seen.
Can my bookkeeper or CPA access the account?
Yes. On Growth and Fleet you can invite users with specific roles (bookkeeper, dispatcher, or driver), each with the right level of access.
Is my data secure?
All data is isolated per carrier using row-level security at the database level. A bug in the UI cannot leak another carrier's data.
