Importing statements
Fuel cards and bank accounts are where a carrier’s real costs live. TruckDesk takes them two ways: a direct bank connection, or a PDF statement you upload. Nothing enters the ledger without a review step.
Uploading a statement
- 01Upload the PDF. One file or several at once. Parsing runs in the background, so you can keep working; the bubble in the corner tells you when it is ready.
- 02Review what was read. Every row, with its category and the driver it was matched to, before any of it is saved. Change anything that looks wrong here.
- 03Confirm the import. Only the rows you kept are written.
You can leave and come back. A parse in progress survives a page change, and a review can be resumed from wherever you left it.
What gets caught for you
- The same file twice. A byte-identical PDF that was already imported is detected before anything is parsed or stored, and you are shown the earlier import rather than being allowed to double the ledger.
- The same charge twice. Individual rows are fingerprinted against what the account already holds, and likely duplicates arrive unchecked in the review.
- Declined charges. Dropped, and reported as dropped rather than silently hidden.
- Rows older than the history window. Held rather than imported, and shown as held. Backfilling further than that is deliberate work, not an accident of uploading an old statement.
Undo
An import can be undone whole: its transactions, its stored PDF, and the upload record.
